Overview

Within Voila, we incorporate frequently used service presets for each courier. Our system continually updates these presets to ensure that our customers can readily access the latest and most popular services. We refer to these as "System Presets" within Voila. It eliminates the need to search for service codes or manually add them to your account. Your task is to select the desired presets, allowing your parcel to be sent using the chosen service.

This documentation will provide you with insight into the Courier Directory segment. Here, you can review the available system presets for a particular courier. Additionally, we will guide you through adding a courier service to Voila and creating your custom presets. Finally, we'll walk you through the steps of utilising the courier presets when initiating a shipment request.

Courier Directory

To access the system presets, navigate to the "Courier Directory" page by selecting it from the menu on the left-hand side.

The Courier Directory page comprehensively lists all integrated couriers within Voila. To explore the system presets available for a particular courier, click on the respective courier's logo in the directory.

The primary objective of the Courier Directory is to enable you to utilise our pre-configured system presets and create custom presets tailored to each of your API accounts. These service presets are pre-defined codes designed to grant access to each courier's services.

For instance, selecting any courier and then clicking "Add Preset" will reveal a compilation of all the system presets corresponding to that specific courier's available services that you have set up previously or more that you can select.

How to Use Courier 

Within Voila, we've developed a virtual environment known as the Playground. This feature enables you to initiate requests directly from our application, providing an experiential understanding of the processes involved when transmitting a request from your application to Voila.

It's important to note that utilising actual API credentials in the Playground may result in the courier charging for submitting requests.

What are Presets?

Presets are pre-configured settings for specific courier services. They allow you to send shipping requests with less information, making the process faster and easier.

Example: Royal Mail

  1. Standard Service ID: In the image below, the request uses the standard Service ID "ROYALMAIL-CRL1-P". This ID includes information about the service level, service code, and service format. However, it requires you to specify the "Posting Location" in each request.

  2. Creating a Custom Preset: To avoid specifying the Posting Location every time, you can create a custom preset. For example, a preset named "Royal Mail 24 Test" with the DC Service ID "RM24TEST" is created.

  3. Using the Custom Preset: Now, instead of using "ROYALMAIL-CRL1-P" and specifying the Posting Location, you can simply use "RM24TEST" in your request. The system will automatically include the necessary information (Service Level, Service Code, Service Format, and Posting Location).

Choosing Your Approach

You have two options for sending shipping requests:

  1. Standard Service IDs: Use the standard format (e.g., "ROYALMAIL-CRL1-P") and include the Posting Location in each request.
  2. Custom Presets: Configure custom presets for frequently used services to avoid manually entering details like Posting Location.

Both options achieve the same result, but custom presets offer a more streamlined approach, reducing manual effort and potential errors.

To integrate Royal Mail Click & Drop with Voila , it's essential to have a Royal Mail Click & Drop account linked to your RoyalMail OBA (Online Business Account). To begin the registration process for a Click & Drop account, please follow these steps:

  1. Navigate to the following URL: https://parcel.royalmail.com/
  2. Select the "Register for Click & Drop" option.
  3. Complete the mandatory fields and click "Next."
  4. Note: Ensure you register using the email address associated with your OBA.
  5. You will encounter two registration options. The first allows you to create a Click & Drop account independently, while the second option involves linking it to your existing OBA account. Since integration necessitates connecting your Royal Mail Click & Drop and RoyalMail OBA accounts, we recommend selecting the second option.
  6. Enter your "Account Number" and "Poster Number," then proceed by clicking "Next." We will guide you in retrieving these details later in this document.
  7. If you wish to receive updates from Royal Mail Group regarding their products, services, and offers, you may check the relevant options and click "Next."
  8. After successfully registering, you will be redirected to the login page by clicking "Go to login." However, before gaining access, you must activate your account.
  9. Check your inbox; you will receive an email like the one below. Click on the "Activate account" link within the email.
  10. Set a password and confirm it, then click "Set password."
  11. With your password successfully set, you can now access Click & Drop by clicking the "Go to Click & Drop" button.

Once it is confirmed, you will receive an email confirming the successful linking of your accounts.

If you already possess a Click & Drop account and wish to verify whether your OBA account is linked to your RoyalMail Click & Drop account, you can do so by navigating to "My Account" > "My profile."

It's a helpful feature that enables collaboration, allowing someone else to set up the connection on behalf of the customer.

How to Add a Courier Service

Overview

Our courier integrations support a wide range of delivery services, including Proof of Delivery (POD), Saturday delivery, and next-day delivery. Voila provides predefined service presets for each courier to simplify the setup process, ensuring you always have access to the most up-to-date and commonly used options. These presets, known as System Presets, eliminate the need to manually search for service codes or configure them in your account.

Selecting a preferred service will automatically assign your parcel to the corresponding option. This guide will walk you through adding a courier service to Voila, focusing on the Courier Directory, where you can easily access and configure system presets for any courier.

Creating Custom Courier Presets

  1. Accessing System Presets: To access the system presets, navigate to the "Courier Directory" page from the menu on the left-hand side.
  2. Viewing Courier Integrations: The Courier Directory page overviews all available courier integrations within Voila. To view the predefined system presets for a specific courier, click on the corresponding courier's logo in the directory. The primary purpose of the Courier Directory is to utilise existing system presets and create custom presets tailored to individual API accounts. System presets are preconfigured settings granting access to each courier's distinct services. For instance, clicking on the DPD entry will display the available system presets associated with DPD.
  3. Selecting an API Account: From the top right corner, select the API Account to which you want to add the preset, then click "Add Preset". If you still need to configure an API Account, you can learn how to do so through this API Accounts guide. Before proceeding, ensure you have chosen the appropriate API account to manage multiple accounts.
  4. Selecting and Adding Presets: In the popup window, select one or more presets and click "Add Presets" at the bottom left corner of the window. This action will immediately add the selected presets to your API Account.
  5. Creating a Custom Preset: If the desired service preset is unavailable, you can create one by clicking the "+ Create Custom Preset" button at the bottom left corner of the window.
  6. Providing Custom Preset Details: Enter the necessary details for the custom preset, including the preset name, service ID, anticipated lead time, and mandatory fields specific to the chosen courier. For instance, you can add notes to your presets to store specific information, like "only valid in the USA." A note icon will appear next to the preset to indicate that it contains additional information.
  7. Applying Restrictions to Presets: To use the new preset selectively, click to check the "Apply restrictions to this preset" checkbox and define rules by selecting specific parameters. This section allows you to tailor your shipments using the new service preset based on weight, dimensions, value, and more criteria. For example, you can designate a preset for shipments exceeding £40 but below £120 or restrict it to shipments destined for specific postcode regions. Additionally, you can specify the countries where this preset will be applicable.
  8. Saving as a System Preset: Click the "Create as a System Preset" option to save this custom preset as a system preset. It will be listed on the previous page, where all the configured system presets are listed. This allows you to click and install presets easily without configuring them. This way, you can install this preset to other API accounts you may have without needing to create it again. 
  9. Finalising the Custom Preset: Once you have finished configuring your custom preset, click "Create Preset" at the bottom centre of the page to complete the process.
